Secure Pro Ops ("we", "our", "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our security operations application across all platforms (Android, iOS, Windows, macOS).

By using Secure Pro Ops, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

2.1 Account Information

  • Name, email address, and phone number provided during registration
  • Organisation details and role assignments
  • Authentication credentials (securely hashed)
  • Biometric authentication data (stored locally on device only)

2.2 Operational Data

  • GPS location data during active patrols (with explicit consent)
  • Radio communication metadata (timestamps, channel, duration — audio is not recorded or stored)
  • Patrol routes, step counts, and geofence interactions
  • Sign-in/out records and shift data
  • Panic alert data including GPS coordinates at time of activation

2.3 Device Information

  • Device type, operating system version, and app version
  • Push notification tokens (for delivering alerts)
  • Network connectivity status

2.4 Communication Data

  • In-app chat messages between team members
  • Support communications

3. How We Use Your Information

We use collected information to:

  • Provide and maintain the security operations service
  • Enable real-time communication between team members
  • Track patrol routes and generate operational reports
  • Process and respond to panic alerts
  • Send push notifications for critical operational events
  • Manage user accounts and access permissions
  • Generate analytics and reports for organisation administrators
  • Improve and optimise our services
  • Comply with legal obligations

4. Audio Communication

We do not record or store voice communications. Push-to-talk audio is transmitted in real-time using encrypted channels (Agora RTC with AES-256 encryption) and is not persisted on any server. Only metadata (who transmitted, when, on which channel, duration) is logged for operational reporting purposes.

5. Location Data

GPS location data is collected only:

  • During active patrol sessions (with explicit sign-in consent)
  • When a panic alert is triggered (to enable emergency response)
  • For geofence monitoring (within designated operational areas)

Location tracking stops immediately when a patrol session ends or the user signs out. Historical location data is retained as part of operational reports and is accessible only to authorised administrators within the user's organisation.

6. Data Storage and Security

  • Data is stored on Google Cloud Platform (Firebase/Firestore) with encryption at rest and in transit
  • Communication channels use AES-256 end-to-end encryption
  • Authentication is handled via Firebase Auth with optional biometric verification
  • Push notification tokens are stored per-device and cleared on sign-out
  • Biometric data never leaves the device

7. Data Sharing

We do not sell your personal information. Data may be shared with:

  • Your organisation administrators — who have access to operational data for team management
  • Law enforcement — only when explicitly linked by your organisation and with appropriate consent
  • Service providers — cloud infrastructure (Google Cloud), real-time communication (Agora), as necessary to operate the service
  • Legal authorities — when required by law or to protect rights and safety

8. Data Retention

  • Active account data is retained for the duration of the subscription
  • Operational logs (patrols, sign-ins, reports) are retained per organisational policy
  • Push notification tokens are deleted upon sign-out or account deactivation
  • Upon account deletion request, personal data is removed within 30 days

9. Your Rights

You have the right to:

  • Access your personal data held by us
  • Request correction of inaccurate data
  • Request deletion of your account and associated data
  • Withdraw consent for location tracking
  • Export your data in a machine-readable format
  • Object to specific processing activities

10. Children's Privacy

Secure Pro Ops is designed for professional use and is not intended for individuals under 18 years of age. We do not knowingly collect information from minors.

11. Third-Party Services

Our app integrates with the following services:

  • Firebase (Google) — Authentication, database, cloud functions, messaging
  • Agora — Real-time voice communication
  • Google Maps — Map display for patrol monitoring
  • Paystack — Payment processing (subscription management)

Each third-party service has its own privacy policy governing data handling.

12. Cookies and Tracking

Our website uses essential cookies for functionality. We do not use advertising trackers or sell data to advertisers. Analytics, if used, are privacy-respecting and anonymised.

13. International Data Transfers

Your data may be processed in data centres outside your country of residence (Google Cloud regions). We ensure appropriate safeguards are in place in compliance with applicable data protection laws.

14. Changes to This Policy

We may update this Privacy Policy periodically. We will notify users of significant changes through the app or via email. Continued use of the service after changes constitutes acceptance of the updated policy.

15. Terms of Service

Use of Secure Pro Ops is subject to our Terms of Service, which are presented and accepted within the app upon first sign-in. The Terms of Service cover acceptable use, subscription terms, liability limitations, and governing law (Ghana).
